Rental Terms
All vehicle rentals come with a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines the terms, conditions, insurance information, and your responsibilities related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the terms of the Rental Agreement will prevail.
Eligibility Criteria
Vehicle Rental Requirements
- To hire a vehicle from Grays, you must be at least 21 years old, although age restrictions may differ depending on the vehicle type, with extra fees applicable for drivers under 25. A valid full driving licence appropriate for the vehicle category is required, along with valid identification and proof of your current address. You will also need to provide valid payment details and a security deposit. Any additional requirements stated in the Rental Agreement must be fulfilled.
Booking and Payments Process
- Reservations can be made via our website, over the phone, or directly at our Dartford office. A deposit may be required to confirm your booking. Full payment and a security deposit are usually due upon vehicle pickup. All pricing is in British Pounds (£) and includes VAT where applicable. We accept major credit and debit cards, processed securely with trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is your responsibility to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be generated and must be signed by both parties. Upon returning the vehicle, it should be in the same condition as it was at the start of the rental, taking normal wear and tear into account. Any new damages will be evaluated and charged appropriately. The vehicle should also be returned with the same fuel level as when collected; refueling fees will apply if it is returned with less fuel. Late returns may result in additional charges, so please inform us as soon as possible if you foresee a delay. You will be accountable for any parking tickets, traffic violations, or fees accrued during the rental period, in addition to an administrative charge.
Insurance and Liability Terms
- All rentals at Grays include basic third-party insurance. You can find comprehensive coverage details and excess amounts outlined in your Rental Agreement. Options for additional insurance may be available to lower your financial responsibility. It’s advisable to review these options thoroughly. You remain liable for damage or loss up to the excess amount, unless you opt for additional coverage. Any damage resulting from negligence, misuse, or violations of these Terms remains your responsibility, regardless of insurance.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows could incur additional charges.
Prohibited Activities
Prohibited Vehicle Uses
- Usage of the vehicle for illegal activities is strictly prohibited. This includes racing, rallying, off-roading, or any other dangerous operations. Transporting hazardous materials, sub-letting the vehicle, or allowing unauthorized drivers is not permitted. Driving while impaired by alcohol or drugs, exceeding passenger or weight limits, and operating outside of designated geographical boundaries without prior approval are also violations of our policy.
Breach of these terms may lead to rental termination and fees.
8. Liability Limitations
To the fullest extent permitted by English and Welsh law, Grays Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our total liability for any claims will be limited to the amount you paid for the rental in the previous 12 months. This limitation does not apply to liability for death or personal injury resulting from negligence or fraud.
Governing Law of Grays
These Terms are regulated by the laws of England and Wales. Any disputes will fall under the exclusive jurisdiction of the courts in these regions.
Updates to Terms
We reserve the right to amend these Terms at any time. Changes take effect immediately upon being posted on our website. Continued use of our services indicates acceptance of the revised Terms.
