Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or vehicle pickup. This agreement outlines specific terms, conditions, insurance information, applicable charges, and your obligations related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Vehicle Rental Requirements
- To rent a vehicle from Grays, drivers must be at least 21 years old, though age restrictions may differ based on vehicle type. A valid, full driving license that meets the minimum duration specified in the Rental Agreement is required. Additionally, renters must present valid identification, proof of current address, and payment details, including a security deposit. Any further criteria outlined in the Rental Agreement must also be met.
Booking and Payment Process
- Reservations can be completed via our website, by phone, or at our Dartford office. A deposit may be necessary to confirm your booking. The total payment and security deposit are generally required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include applicable VAT. We accept major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is your responsibility to conduct a thorough inspection and report any pre-existing damage right away. A vehicle condition report will be generated and must be signed by both parties. When returning the vehicle, it should be in the same condition as when collected, taking into account normal wear and tear. Any new damage will be evaluated and charges may apply accordingly. Ensure that the vehicle is returned with the same fuel level as it was provided; refueling fees will be implemented if the fuel level is below what it was at pick-up. Late returns may incur additional fees, so please notify us promptly if you expect to return the vehicle later than agreed. You will be liable for any parking fines, traffic violations, or other charges incurred during the rental, in addition to an administration fee.
Insurance and Liability Terms
- All rentals from Grays include basic third-party insurance as standard. Comprehensive details regarding coverage and excess amounts can be found in your Rental Agreement. Additional insurance options may be offered to help minimize your financial liability. It's advisable to review these options thoroughly. You remain liable for damages or losses up to the excess amount unless further insurance is purchased. Any damage resulting from negligence or misuse falls under your responsibility, regardless of insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
7. Restricted Activities
Prohibited Uses of the Vehicle
- Use of the vehicle for illegal purposes is prohibited. Activities such as racing, rallying, or off-roading are not allowed. The transport of hazardous materials is strictly forbidden. Subletting the vehicle or permitting unauthorized drivers is unacceptable. Driving under the influence of alcohol or drugs is prohibited. The vehicle must not be used for purposes it is not designed for, including exceeding passenger or weight limits. Driving outside of the specified geographical boundaries without proper authorization is also not permitted.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Restrictions
To the fullest extent allowed by English and Welsh law, Grays Car Hire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claims is limited to the amount you paid for the rental in the last 12 months. This limitation does not apply to claims for death or personal injury due to negligence or fraud.
9. Applicable Law
These Terms are regulated by the laws of England and Wales. Any disputes will be resolved exclusively in English and Welsh courts.
Updates to Terms
We reserve the right to update these Terms at any time. Changes take effect as soon as they are posted on our website. Continued use of our services indicates your acceptance of the revised Terms.
